Information you give to us
The information you give us may include your name, address, email address, phone number, social media contact details.

Personal Information
For regulatory and professional reasons we are required to collect information about you when you first join the studio such as age and medical history. When you first join a class/session we request that you fill out a Client Enrolment Form detailing your personal information. We also process some of this information on TM2 our studio practice management software. In the instance of a rehabilitation class/session attendee we are required to keep additional notes. Your information will be stored securely. We must hold your information for 8 years in order to comply with professional, legal and insurance requirements we must fulfil.

After the 8 year period we may continue to process some of your information such as your name, address, email address and phone number on TM2 our studio practice management software for legitimate interests for future identification purposes of you as a previous client.

The information provided in your Client Enrolment Form and all information previously provided by you, and any information you may later provide, will only ever be used for teaching purposes and will not, in any circumstances, be shared with a third party without your written consent, unless that party is another (Body Control®) Pilates teacher who will teach you.

Mailing Lists
As part of the registration process for our e-newsletter, we collect personal information. We use that information for the following reasons: to tell you about our Pilates classes and sessions and any other Pilates related information we think you may be interested in; to contact you if we need to obtain or provide additional information; to check our records are right and to check every now and then that you’re happy and satisfied. We don't rent or trade email lists with other organisations and businesses.

We use a third-party provider, MailChimp, to deliver our newsletter. We gather statistics around email opening and clicks using industry standard technologies to help us monitor and improve our e-newsletter. For more information, please see MailChimp’s privacy notice. Information we receive from third parties about you When someone visits www.pilatesworksstudio.com we use a third party service, Google Analytics, to collect standard internet log information and details of visitor behaviour patterns. We do this to find out things such as the number of visitors to the various parts of the site. This information is only processed in a way which does not identify anyone. We do not make, and do not allow Google to make, any attempt to find out the identities of those visiting our website.

Do we disclose your information? We use TM2 Practice Management Software to manage your personal information as described in the Personal Information section. Access to this system at the Studio is protected by password. The information is hosted by TM2 securely offsite.

We may share information with government agencies or other companies assisting us in fraud investigations or fraud prevention. We may do so when: (1) permitted or required by law; or, (2) trying to protect against or prevent actual or potential fraud or unauthorised transactions; or, (3) investigating fraud which has already taken place. The information is not provided to those companies for marketing purposes.

Storage and retention of your personal data
All information you provide to us is stored on our secure server and back ups located in the British Isles and we retain it as long as it is useful and pertinent. By providing personal data to us (either directly or indirectly) you are accepting and consenting to the practices described in this policy. For the purpose of the EU General Data Protection Regulation (GDPR), the data controller is Pilates Works Studio, 10 Church Street, Weybridge, Surrey KY13 8DX. Any changes we may make to our privacy policy in the future will be posted on this page and, where appropriate, we will notify you by email.
